How we handle your information

We collect personal data from two groups of people: households and businesses who want to hire, and workers who want to be placed. This page explains what we hold, why, and what you can ask us to do about it.

What we collect

From clients

Your name, phone number, email address, the area you live in, and the details of the role you are recruiting for — including household details you choose to share, such as the ages of children or the care needs of a family member.

From job seekers

Your name, contact details, national ID number, photograph, work history, referee contact details, certificates, and the outcome of your Certificate of Good Conduct application and our reference calls.

Why we hold it

  • To answer your enquiry and match a candidate to your brief
  • To verify a candidate's identity, record and work history before presenting them
  • To draw up an employment contract between you and the person you hire
  • To administer a placement, the replacement guarantee, and any compliance retainer
  • To meet our own legal and tax obligations in Kenya

Who we share it with

We share a candidate's vetting file with the client considering them, and only with that client. We share a client's household requirements with shortlisted candidates so they can decide whether to accept an interview. We share data with government bodies where the law requires it, such as applying for a Certificate of Good Conduct.

We do not sell personal data, and we do not pass your contact details to other agencies or to marketing lists.

How long we keep it

Enquiries that do not lead to a placement are kept for 12 months and then deleted. Placement records, contracts and vetting files are kept for seven years from the end of the placement, which is the period we may need them for tax, legal and dispute purposes.

Your rights

Under Kenya's Data Protection Act, 2019 you have the right to be told what data we hold about you, to ask us to correct it if it is wrong, to ask us to delete it where we are not required to keep it, and to object to how we are using it.

If you are not satisfied with our response, you can complain to the Office of the Data Protection Commissioner of Kenya at odpc.go.ke.

Cookies and this website

This website does not use advertising or tracking cookies. If you begin a staff request, your answers are stored temporarily in your own browser so you do not lose them if the page reloads. That draft never leaves your device until you press send, and it is cleared once your request is submitted.
